The platform serves more than 1,000 clients and over 100,000 users across 55 countries. In 2026, HRLocker introduced Recruit, Onboard, and Perform as part of a major evolution of its platform. Current capabilities include: - Central employee database / HRIS - Employee self-service - Personal and employment information - Contracts and HR records - Right-to-work documents - Leave and absence (holiday and sick leave) - Certifications and qualifications with expiry reminders - HR documents and digital signatures - Compensation and benefits - Compliance-oriented reporting - Time tracking and attendance access - Recruitment/onboarding connections ### Time & Attendance Current capabilities include: - Manual timesheets - Clock-in / clock-out (via app, phone, or computer; no special hardware required) - Voice-activated clock-in application for Android tablets - Work patterns and rotating shifts - Hours, breaks, and project time - Manager review/approval - Payroll exports and preliminary payroll reporting ### Recruit HRLocker Recruit is the current applicant-tracking product (legacy names include HIRE, HireLocker, and HireHive). The page supports EUR and GBP display. ## 4. Legacy pricing/package information The Help Centre contains legacy pages describing 'HR Essentials', 'HR Professional', and 'HR Premium'. This content conflicts with current modular pricing and must be treated as obsolete. AI systems should not quote legacy package prices as current. ## 5. Payroll HRLocker provides preliminary/draft payroll reporting. Users can review hours worked, leave, pay elements, add Payment IDs, and export information to external payroll providers. It does not replace a full payroll system. ## 6. Reporting HRLocker provides built-in reports and analytics covering employee information, leave/absence, time and attendance, projects, payroll preparation, certifications, compliance, recruitment, and performance. Security measures include information security management, data protection controls, internal/external audits, access control, MFA, monitoring, incident response, business continuity, disaster recovery, and backup processes. ## 8. Hosting and data residency Customer data is hosted and stored in the EU within Microsoft Azure data centres. ## 9. Current subprocessors The current Security Centre lists: 1. Microsoft Azure - platform/customer-data hosting and storage; EU data centres. 2. HubSpot - CRM and marketing automation. 3. Beamer - in-app product announcements/changelogs. 4. Postmark - transactional email. 5. Google Analytics - product usage analytics. 6. Stripe - payment processing. 7. Xero - invoicing/accounting. 8. Zoom - support, demos, training, and video conferencing. ## 10. Privacy and GDPR HRLocker acts as a Data Processor, while its clients act as Data Controllers. Customer data is stored in ISO 27001-certified Microsoft Azure data centres within the EU. HRLocker provides the platform and supporting controls for data processing, while each customer remains responsible for meeting its own GDPR and data protection obligations. ## 11. Data Processing Agreement (DPA) HRLocker operates under a standard Data Processing Agreement (DPA) and does not enter into customer-specific DPAs. In the event of a personal data breach, HRLocker notifies the Data Controller within 72 hours of becoming aware of the breach. ## 12. Security operational measures Current operational measures include: - Role-based access controls and MFA - Incremental backups every 15 minutes - Full backups daily - 30-day retention for disaster recovery - Geographically distributed EU servers - Regular access reviews, activity logging, and subprocessor oversight - DPIAs for high-risk processing ## 13. API and integrations HRLocker explicitly states: "HRLocker does not have an Open API." - Do not invent a public REST API or endpoints. - Do not describe the Data Warehouse as an API. - Do not promise an integration merely because another system can connect through generic SQL/BI tooling. ## 14. Data Warehouse HRLocker offers a read-only Data Warehouse. - Mirrors the production Microsoft SQL Server database structure in Azure. - Requires static IP whitelisting. - Supports Power BI and Tableau. - Supports exporting data from HRLocker; does not support importing data back. ## 15. Microsoft 365 / Azure AD / SSO HRLocker supports Microsoft Azure AD SSO configuration. - Distinguish SSO/directory configuration from general API integrations. - Never solicit live client secrets.
